Google account access

The assistant uses Google consent to access account identity, Gmail messages needed for requested searches and readings, accessible calendar lists, and calendar events. Its authorized capabilities also allow sending email and creating or modifying calendar events. The current interface uses reviewed proposals for email replies and new events; it does not automatically send messages or create events merely because a model suggests them. Access is limited by each connected account’s Google permissions.

AI processing

Questions, relevant conversation context, and selected email, calendar, or knowledge results are sent to the OpenAI API to generate requested answers. Live voice audio is sent to OpenAI for the voice conversation and transcription. The application does not retain raw audio. Provider processing and retention are governed by the relevant provider’s terms and settings; this application does not claim that provider records are immediately deleted.

Local records

The Mac running the assistant stores Google authorization credentials, conversation transcripts, reviewed-action records, and memory drafts in an owner-only application folder. Conversations can include excerpts of email or calendar information used in answers. The application does not independently encrypt these local files. Local records remain until the owner deliberately removes them; there is no automatic retention deadline.

Reviewed knowledge saves

Conversation summaries may be drafted automatically. Scott must review and approve a summary before the assistant submits it to the Codex Knowledge Bridge. Approved summaries may be copied to the configured Obsidian vault, Notion, Supermemory, and Pinecone. Google’s Gemini embedding service processes text for the current Pinecone integration. Those services have their own processing and retention policies. Saving a summary does not publish it on this public information website. No NotebookLM copies are made by this workflow.

Web access

Cloudflare provides the web connection and owner sign-in. It processes the requests and security information necessary to deliver and protect that connection. The private assistant restricts access to its approved owner account and verifies signed authentication at the application server. Authentication and session cookies are used for access; this public information page contains no advertising or analytics scripts.

Owner control

Scott can revoke Google authorization through his Google Account’s third-party connections settings, stop the local assistant or its tunnel, and request removal of local records or saved knowledge copies. Revoking Google access stops future authorized retrieval; it does not itself delete previously saved records. Copies in each destination must be managed separately. Purpose

Data is used to provide the requested personal-assistant and reviewed knowledge-saving functions. The application has no advertising or data-sale feature. This policy describes the current application; material changes to its data handling should be reflected here before being enabled.
